What info does a live event illustrator need beforehand?

If you’re planning an event, live illustration can be a fantastic addition, but you may be wondering: what do I need from you beforehand? In this post, I’m sharing the essential information I’ll ask you for pre-event, to help make the whole process stress-free.

Event details

If you’re organising a conference, seminar, or any event, I don’t need the nitty-gritty details of every presentation or movement beforehand. What I do need is the agenda - start times, breaks, and the overall flow of the day.

I’ll also ask for:  

  • The exact location (building and room) where we’ll meet.  

  • A contact name and number for the day, just in case plans change last minute.  

  • Any logos to include.

  • A colour palette, if you have one, otherwise I’ll create one for you!

  • Any other branding guidelines you’d like me to follow.

Live illustration content

I’ll also ask some optional questions about the illustration content itself:

  • Key themes or stakeholders you’d like me to focus on.  

  • Any technical language or sensitive topics to be mindful of.  

  • How you plan to use the artwork after the event - if you know - whether it’s for an annual report, social media, or something else

Live illustration display options  

I’ll bring all the necessary tech, so you can decide how you’d like the illustrations to be displayed during the event:  

  • Live display as I draw.  

  • Shown during breaks or at the end - as a surprise perhaps!

  • Not displayed at all, and shared privately afterward.

Final thoughts

Don’t worry about remembering all this—we’ll have a quick call before I’m booked in, and I’ll walk you through everything. I’ll also send over a handy questionnaire to collect all the details. You can upload your files directly, so no need to retype anything.
